Executive Personal Assistant and Recruitment Coordinator | Kloof

This is an exceptional opportunity for an experienced Executive PA and Recruitment Coordinator to contribute to a high-performing team while supporting key operational and strategic functions.

Duties:

  • Receive and review CVs against specific role requirements
  • Conduct initial candidate screening calls and prepare concise screening notes
  • Identify suitable candidates and flag concerns, gaps, or inconsistencies
  • Liaise with candidates and recruiters
  • Arrange interviews across multiple diaries and time zones, ensuring candidates are well briefed
  • Prepare interview schedules and candidate information packs
  • Follow up with candidates and recruiters post-interview
  • Maintain accurate candidate trackers and recruitment records
  • Format CVs into required templates and prepare summaries for client presentations
  • Assist with reference checks, qualifications, and pre-employment documentation
  • Communicate professionally and responsively with candidates throughout the process
  • Provide high-level virtual administrative support to the Managing Director
  • Manage busy diaries, coordinate meetings, and arrange virtual meetings via Microsoft Teams
  • Monitor deadlines, follow-ups, and action items
  • Draft, format, and proofread professional documents, reports, and proposals
  • Assist with travel arrangements, event logistics, and stakeholder coordination
  • Maintain structured electronic filing and ensure document accuracy and branding
  • Support marketing initiatives including social media and recruitment posts
  • Support special projects and operational requirements

Requirements:

  • Matric
  • 3 to 5 years of relevant experience in administrative and recruitment coordination
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organisational and communication skills
  • Proven ability to work accurately under tight deadlines
  • Excellent proofreading skills
  • Knowledge of organisational psychology is advantageous
  • Ability to handle confidential information with discretion

Familiarity with the following:

  • Canva for creating marketing materials
  • PDF and document formatting and editing
  • Virtual meeting platforms, especially Microsoft Teams
  • Recruitment databases and electronic filing systems
